Introduction:
This guide will help you set up automated SMS and WhatsApp messages whenever specific changes occur in your Bigin CRM—like deal stage updates, contact changes, or company changes—using CRM Messaging.
Step 1️⃣: Install the CRM Messaging for Bigin App
- Go to the Bigin Marketplace and search for “CRM Messaging for Bigin.”
- Click Install and authorize access to your Bigin account.
- Once installed, log in to your CRM Messaging account.
Step 2️⃣: Connect Your Bigin Organization
- After logging in, connect your Bigin account with CRM Messaging.
- This enables CRM Messaging to listen to changes in your Bigin records and trigger automations.
Step 3️⃣: Subscribe to Notifications for Changes
- In the CRM Messaging dashboard, navigate to Integrations → Bigin Connection.
- Click Subscribe for Notifications.
- Select the type of update you want to listen for, e.g., Deal Updates (like a deal moving from one stage to another).
Step 4️⃣: Configure the Fields to Fetch
- You must specify the fields CRM Messaging should retrieve from Bigin when the change occurs.
- Example for Deal Updates:
- Instructions: Enter field names for the main module record (e.g., Stage, Amount).
For related module fields (like fetching Contact’s Mobile), include the lookup field (e.g.,Contact_Name
) and specify related fields using the format:Contact_related_fields:Mobile,Phone
.
Example:Stage, Amount, Contact_Name, Contact_related_fields:Mobile,Phone
.
- Instructions: Enter field names for the main module record (e.g., Stage, Amount).
Step 5️⃣: Set Up the Webhook URL
- Open a new tab and navigate to Automation → Workflows in CRM Messaging.
- Click Create New Workflow (or use an existing one).
- In the workflow, add a Webhook Trigger.
- Copy the generated webhook URL.
- Return to the Bigin Notifications page and paste the webhook URL in the field provided.
- Click Subscribe to start receiving data from Bigin when changes occur.
Step 6️⃣: Test the Webhook
- In CRM Messaging, click Recapture Webhook to test the setup.
- In Bigin, make a change (e.g., move a deal to a new stage like “Closed Won”).
- Return to CRM Messaging—data from Bigin should appear in the webhook test.
Step 7️⃣: Configure the Automated SMS/WhatsApp Message
- In the workflow, click Send SMS (or Send WhatsApp).
- Select the phone number field (e.g.,
contact_mobile
). - Customize your message using dynamic fields like
{name}
for personalized messages. - Example message:
Hi {name}, your onboarding is completed. Please review here.
- Save and publish the workflow.
Step 8️⃣: Final Test & Confirmation
- Change a deal stage in Bigin to trigger the workflow.
- Go to Enrollment History in CRM Messaging to confirm that the automated message was sent.
